Terms of service
CV Mailroom is supplied under the SearchEx Limited subscription terms. Those terms are the agreement between us: they set out the service, your allowance and what happens when you exceed it, charges and payment, fair usage, availability, liability, how either of us may end the agreement, and the data protection obligations we take on as your processor.
Service Schedule B covers CV Mailroom specifically — what is set up, which attachment formats are accepted, the message and attachment limits, the plan prices in each currency, how automatic top-up works, and how long submissions are kept.
These terms apply to every SearchEx subscription service. Where a Service Schedule says something different for a particular service, the Service Schedule applies.
Privacy
How SearchEx handles personal information is set out in the SearchEx privacy notice, which covers the lawful bases we rely on, what we hold, how long we hold it, who it is shared with, cookies, and how to see or remove information we hold about you. Our data protection officer is Ken Fifield, at [email protected].
If your CV was filed by a search firm
If a search firm has filed your CV using CV Mailroom, that firm is the controller of your data: it decides what to hold and why. SearchEx is its processor, acting only on its instruction. Your rights — to see your data, correct it, or have it erased — are exercised against the firm that holds your CV, not against us. We cannot add, change or delete a record in a customer's Invenias on your behalf, and we will not do so without their instruction.
We do hold one thing of our own: a copy of the email your CV arrived in, kept for three months from the date it arrived and then deleted automatically. If you write to us at [email protected] we will pass your request to the search firm within one working day and tell you we have done so. We will delete our copy of the original email on their instruction, or when the three months expire, whichever comes first. Full detail is on our security page.
If you subscribe to CV Mailroom
For the firms who subscribe, SearchEx is the controller rather than the processor, and the privacy notice applies. Two things CV Mailroom holds are worth stating here because they are specific to this service. We hold your billing details — company name, billing address and the name and email address of your account contact — which we use to invoice you and to reach you about the service. And we record the IP address of every sign-in, password reset and account setup, together with failed sign-in attempts. That is a security measure: it is what lets us lock an account after repeated failures, and gives us a record of account access if you ever need one. Ask us and we will tell you what is held against your account.
Cookies on this site
This site sets no cookies and uses no analytics. There is no advertising and no cross-site tracking of any kind, which is why you were not asked to consent to anything. Cookies on other SearchEx sites are covered by the cookie policy.
The existing privacy notice is written for people who deal with SearchEx directly — training customers, subscribers and website visitors. A candidate has no relationship with us, which is why the first section above exists.
