Parsing a CV into Invenias from your phone
Invenias needs a PC. Your email does not. Forward the CV to your own CV Mailroom address and it is parsed and filed into Invenias — from a platform, a taxi, or the ten minutes between two meetings.
Why this is the problem worth solving
CVs do not arrive during the part of the day you are at your desk. They arrive while you are with a client, in the evening, on the way somewhere. You read them on your phone, decide the candidate is interesting, and tell yourself you will file them tomorrow.
Tomorrow has its own CVs. The one from yesterday stays in the inbox, and three months later it is a candidate you met, liked, and cannot find — because as far as your database is concerned you never met them.
This is not a discipline problem. Filing a CV properly takes a few minutes at a PC, and the moment you want to do it you have neither.
What you actually do
Open the email on your phone. Whatever mail app you already use — nothing to install, no app of ours.
Forward it to your CV Mailroom address. One address per firm, set up when you start. Put it in your contacts once and it autocompletes from then on.
Add the assignment reference to the subject line, if there is one. Only if the CV came in reply to an advert. Leave it off and the candidate lands in your nominated programme instead.
Send. The record is in Invenias in about half a minute — median 28 seconds across 40 live imports. You do not wait for it or check anything.
That is the whole procedure. It is deliberately not clever: the thing a phone is genuinely good at is forwarding an email, so that is the only thing we ask it to do.
What lands, and how you know it did
For a candidate new to your database, the forwarded CV produces a person record parsed from the CV, their employment history up to 25 previous roles, their education up to 15 entries, the CV itself under its original filename, and a journal note on every record it touches saying how it got there. When the subject line carried an assignment reference, the candidate is added to that assignment and the source is recorded.
- The record is in Invenias. That is the confirmation, and it is the one that matters.
- Every import is listed in your portal, with the match decision that was made and the original email retained, so anything can be checked against what actually arrived.
- If something fails, your nominated address is told, with the reason. For an unreadable CV the file comes back attached, so nothing is lost.
- There is no success email. We do not send one, on purpose. A confirmation for every CV is another thing arriving in the inbox you were trying to empty.
Accepted formats are PDF, DOC, DOCX and HTML.
Questions
No. It is your own mail app forwarding an email, so it works on any phone, any tablet and any machine you can read email on, including one you have borrowed.
Only from an address registered to your firm. That check is what stops a stranger who learns your CV Mailroom address from writing into your database. You can register more than one domain.
The CV is attached to their existing record and nothing else is changed. Fields a consultant has curated by hand are never overwritten by a re-import.
Not when a CV is parsed or filed, and never about a parse failure. The one exception is reaching your monthly limit, when the sender receives a short courtesy note.
The candidate is matched on the email address on their CV, so a second forward attaches the document and changes nothing else. It will not create a duplicate person.
Try it on a CV you have to hand
Upload one and see the Invenias record it would produce. No sign-up, nothing written to any system, and the file is deleted the moment it has been read.
